The short version
TriCities.ai is a managed AI services company based in Johnson City, Tennessee. When you contact us, we collect the information you give us so we can contact you back and deliver the services you ask for. We do not sell your information. We do not share it with anyone who is not helping us run the business. You can ask us to delete it at any time and we will.
What we collect
We only collect what you give us directly. That is mostly contact form submissions and information you provide when you sign up for a service. Specifically:
- AI Readiness Audit form: your name, business name, email, phone number, industry, company size, and whatever you tell us about your biggest operational headache.
- Contact form: your name, email, optional phone number, and the message you send us.
- Client engagements: billing information, business documents you share with us as part of an engagement, meeting notes, and anything else needed to actually deliver the work.
- Basic website analytics: which pages are visited and roughly where visitors come from. We do not collect personal information from browsing — just aggregate numbers.
What we do with it
We use your information to:
- Respond to your inquiry or audit request.
- Schedule and deliver the services you hired us for.
- Send you invoices and collect payment.
- Follow up about your project or support ticket.
- Improve the services we offer to Tri-Cities businesses.
That is the full list. We do not email you marketing newsletters unless you explicitly opt in. We do not resell your information. We do not share it with advertisers.
Who we share it with
We only share information with the service providers that help us run the business. Today that list is short:
- Supabase — stores form submissions and customer records. Data is encrypted at rest and in transit.
- Render — hosts this website and our internal admin tools.
- Resend — sends transactional emails (audit confirmations, ticket replies).
- Stripe or equivalent — processes payments when you buy a service. We never see or store your full credit card number.
- CloudWise Academy — delivers training modules when training is part of your engagement.
If a court order or subpoena requires us to disclose information, we will comply with the law. We will tell you that we had to, unless the law prevents us from doing so.
Cookies and tracking
We use minimal cookies. The site does not run Google Analytics or Facebook Pixel. If we ever add a privacy-respecting analytics tool (we are considering Plausible or Cloudflare Web Analytics), we will update this page and it will not track you across other sites.
How long we keep your information
We keep audit and contact form submissions for as long as we are reasonably likely to follow up with you — typically 24 months. We keep client records for as long as our professional obligations require (accounting records, tax records, signed agreements), which is typically seven years in Tennessee. When that period ends, we delete the records.
Your rights
At any time you can:
- Ask what we have on you. Email us and we will send you a complete export within 30 days.
- Correct anything that is wrong. Email us and we will fix it.
- Ask us to delete your information. Email us and we will delete everything we are not legally required to retain. We will confirm when it is done.
- Ask us to stop contacting you. Email us. We will.
Residents of states with specific privacy laws (California, Virginia, Colorado, Connecticut, Utah, and others) have additional rights under those laws. Those rights apply — email us and we will honor them.
AI and your data
Because we are an AI services company, we want to be specific about this: we do not use your information to train any AI model, ours or anyone else’s. When we build AI tools for a client, the data that flows through those tools belongs to the client and is governed by the service agreement we sign with them. We follow the data handling policies of the AI vendors we integrate (OpenAI, Anthropic, Google, etc.) and disclose those policies during the engagement.
Children
Our services are for businesses. We do not knowingly collect information from anyone under 16. If you believe we have, email us and we will delete it.
Changes to this policy
If we update this policy in a meaningful way, we will update the “Last updated” date at the top and, if the change affects you, we will email the clients on our active list. Small wording fixes and clarifications do not trigger an email.
